Privacy Policy
Seebia ("Seebia", "we", "us") provides an AI agent and website platform that helps businesses answer customers, book appointments, send reminders and keep their records up to date. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to seebia.com, app.seebia.com, the sites and chat widgets that businesses run on Seebia, and the Seebia platform itself.
Who is responsible for your information
Seebia has two kinds of users. Businesses sign up, set up their site and chatbot, and manage their own staff and clients. People who deal with a business chat with its assistant, book with it, or receive its messages.
For information about a business's own clients, the business decides why and how it is used, and Seebia acts as its service provider, processing the information on the business's behalf and under its instructions. If you are a business's client and want to see, correct or delete your information, contact that business first. For information about a business's own account and staff, and for our own website, Seebia is responsible.
Information we collect
- Account information: name, email address, and a password (stored only as a one-way hash) for staff and administrators, and the role they hold in a business.
- Sign-in with Google: if you choose "Continue with Google", Google tells us your email address, whether Google has verified it, and usually your name. We use this only to recognise an account that already exists with that email. We do not receive your Google password, and we do not request access to your Google contacts, mail, Drive or calendar.
- Conversations and bookings: messages you send to a business's chat assistant, and the details you give to book, change or cancel an appointment: your name, phone number or email, the service and the time.
- Business content: pages, text, files and web pages a business gives us so the assistant can answer from them.
- Messages we send: the content, recipient, time and delivery status of emails and text messages sent through Seebia.
- Technical information: IP address, browser type, and the pages and requests made, kept in server logs for security and troubleshooting. We use only the cookies needed to keep you signed in and to protect forms; we do not use advertising or cross-site tracking cookies.
How we use it
- To run the service: sign you in, answer questions, book and manage appointments, and send confirmations and reminders.
- To keep the service secure, prevent abuse and fix problems.
- To communicate with account holders about the service.
- To meet legal obligations.
We do not sell personal information. We do not use it to show advertising, and we do not use a business's clients' conversations to train AI models.
Who we share it with
We share information only with the service providers that help us run Seebia, and only as needed to provide the service:
- Anthropic, which provides the AI model that writes the assistant's replies. The text of a conversation and the business content needed to answer it are sent to it.
- Twilio (text messages) and an email provider such as SendGrid or Google's Gmail API (email), to deliver the messages we send.
- Google, for sign-in (see above) and, when a business connects a Google Calendar, to read free and busy times and to create or cancel appointment events in that calendar.
- Hosting and storage providers: Vultr (servers) and Cloudflare (domain name service and encrypted backups), in the United States.
We may also disclose information if the law requires it, to protect people's safety or our rights, or in a merger or sale of the business (with notice to affected account holders).
Google user data
Seebia's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- Sign-in: we request only your email address and basic profile (name). We use them solely to sign you in to an existing Seebia account. We do not transfer them to others, use them for advertising, or allow people to read them except as needed to provide the service, for security, or to comply with the law.
- Calendar: when a business shares a Google Calendar with Seebia's service account, we read its busy times to offer open slots, and create or cancel the appointment events that customers book. We use that calendar information only to provide the booking feature to that business.
A business can stop calendar access at any time by removing Seebia's service account from its calendar's sharing settings. You can remove Google sign-in at any time in your Google Account's security settings.
Text messages
If a business sends you text messages through Seebia, such as appointment confirmations and reminders, you can reply STOP at any time to opt out, and HELP for help. Message and data rates may apply. Mobile phone numbers and text-messaging consent are never shared with third parties or affiliates for their marketing or promotional purposes. They are shared only with the providers that deliver the messages.
How long we keep it
We keep information while an account is active and for as long as the business needs it to run its service. When a business closes its account or asks us to delete data, we delete or anonymise it, except where we must keep something for legal, security or accounting reasons. Encrypted backups are overwritten on a rolling schedule.
Security
Traffic to Seebia is encrypted in transit (HTTPS). Passwords are hashed, access is limited by role, each business's data is kept separate from the others', and backups are stored encrypted. No system is perfectly secure, but we work to protect your information and will tell affected businesses promptly if a breach affects them.
Your choices and rights
You can ask to access, correct, export or delete your personal information, and to object to or limit certain uses. Depending on where you live (for example Texas, California or the European Economic Area) you may have additional rights by law. To use them, contact the business you dealt with, or email us at the address below and we will respond within 45 days. We will not treat you differently for exercising a privacy right.
Children
Seebia is for businesses and is not directed at children under 13. We do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
If we make material changes we will update the date above and, for account holders, notify them by email or in the product before the change takes effect.
